Bhutan on a budget - booking Conditions


Before considering this budget option for Bhutan, it is essential that you read and understand the points below.

* Communication with Bhutan & Beyond:
This will only be accepted by email or on-line. We do NOT provide a telephone information service for this product.

* Trip Research:
You must undertake your own initial research using the key web links provided by Bhutan & Beyond as your starting point. You will be provided a comprehensive 16 page Bhutan Visitor Planning Guide.

* Travellers: 
These budget tours are for a minimum of 2 persons travelling together. They are not available to solo travellers.

* Bhutan Visitor Planning Guide:
Once your tour deposit has been received we will forward you a comprehensive 16 page Bhutan Visitor Guide to answer most queries that will arise. It is your responsibility to seek answers for any other queries on-line.

* Bhutan Tour Guide:
You will be assigned a professional, registered, freelance guide by the Tourism Council of Bhutan to accompany you on your journey.

* Hotel Accommodation:
Only 3 star hotels (good quality Bhutanese-style) or home/farm stays are offered and these will be allocated approximately 4 weeks prior to your arrival. It is not possible to choose your hotel in advance nor upgrade to higher standard hotels on this package.

* Amendment Fees:
Amendments to the tour itinerary, after your deposit is paid, will incur a service fee of US$20.00 per person per change.

* Tour Itineraries:
‘Bhutan on a Budget’ is only offered for the cultural/hiking touring itineraries detailed above and is not available for any itineraries requiring a high altitude trekking component or upgrades to higher standard hotels.

* Pre/Post Bhutan Arrangements:
You will need to arrange your own air travel and stopover accommodation en-route to/from Bhutan; except the Drukair/Bhutan Airlines flights to/from Paro which we must arrange for you. You will need to be responsible for ensuring you have no less than 4 hours connection time between Drukair/Bhutan Airlines flights and your other airline flights.

* Passport Validity:
You must hold a passport valid at least 6 months longer than your final air flight on your journey.

* Travel Insurance:
Comprehensive travel insurance is mandatory to gain a visa to enter Bhutan. It is your responsibility, for your personal & financial safety, to ensure you have insurance activated before you pay any deposits to Bhutan & Beyond as these are non-refundable.

* Important Notes on Travel Insurance
* You must purchase a comprehensive travel insurance policy, before you pay your tour deposit, for your own financial protection.

* It is your responsibility to ensure you choose a comprehensive travel insurance policy that covers all aspects of your journey. Please note you will have the option to hike to 4000 m and your travel insurance must cover you for this altitude. You may also consider undertaking other adventure activities such as white-water rafting and/or mountain biking and your insurance must also cover you for such activities.

Bhutan is still an emerging destination and, along with its neighbours India & Nepal, experiences occasional disruptions due to unforeseen circumstances affecting travel arrangements. It is important you are both aware, and accept, that pre-planned arrangements may occasionally need to be amended at late notice due to events beyond the control of any operator involved in the provision of your travel related services.

It is essential you carefully read and agree to the following Booking Terms & Conditions. These form a component of the contract you enter into when making travel reservations to Bhutan, with Bhutan & Beyond and our overseas partner suppliers.

* Booking Form & Passport Scan:
Please ensure you fully complete our tour booking form on-line and submit this in order we can hold a reservation on your behalf. At the same time, or as soon after as possible, we require  a quality scan of your passport photo page which we use to issue your visa. We appreciate you limiting this to less than 3 MB in file size.

Please note – The passport photo page must be very clear, no shadows or reflections and we must be able to read the headings such as ‘name’; ‘date of birth’; ‘Expiry Date’ etc.

* Cancellation Policy:
Your deposit is non-refundable once received and we urge you to ensure your travel insurance is in place at the time of paying your travel deposit for your protection.

After final balance has been received cancellations will incur fees as follows.

Deposit date until 60 days prior arrival in Bhutan – Loss of deposit
60 days or less prior to arrival in Bhutan – No refund permitted

* Itinerary Changes:
Bhutan is a challenging region to travel in for a wide variety of reasons. Bhutan & Beyond, along with our partner operators, reserve the right to make necessary changes to your pre-arranged and prepaid itinerary structure where unforeseen circumstances dictate such changes. Depending on circumstances a refund may not be offered for such late changes and your travel insurance will, in most cases, cover for any financial loss

* Flight Delays & Cancellations:
Bhutan & Beyond and our partner ground operators take no responsibility for airlines amending flight times at short notice and/or cancelling and/or rerouting flights for operational reasons. No responsibility can be assumed for delay cancellation or unavailability of flight or missed connections. In such an instance any additional costs must be borne by the traveller and claimed via their travel insurance.

* Trip Costs:
Our travel package costs are always quoted in US Dollars and are subject to exchange rate fluctuation until converted into Australian dollars on the day you choose to pay your final balance due. Occasionally we  reserve the right to increase prices after a trip has been quoted on, however this is only in instances beyond our control. An example of this is a foreign Government imposing higher tourism taxes before travel has been undertaken or an airline increasing fuel surcharges prior to ticketing.

* Your Acceptance of Risk:
You acknowledge your journey to/from and through this region of South Asia comes with the usual risks of travel and, in some cases, additional risks that are associated with adventure activities and the specific nature of your chosen journey. You accept these risks and the possibility personal injury, death, property damage or loss may result from your decision to participate in such a journey.

You agree that should you be affected by any sickness, serious injury or other unforseen circumstance that Bhutan & Beyond, and/or any of our overseas partner operators, can arrange any urgent medical treatment or emergency evacuation as deemed necessary for your safety and that all such costs will be borne by you and/or your travel insurer.

You also agree that upon completion of our tour booking form and payment of your deposit that you release all claims of liability against Bhutan & Beyond (and all staff) and any and all of our partner operators overseas , including all their staff, for any personal injury, death , property damage, loss or inconvenience sustained by you as a result of this tour, be it a private journey or as part of a small private group tour.
